When a contractor responds to a quote request, their submitted quote is returned to you for review in Access Maintain. This allows you to check the price, review the work details, and ensure everything is correct before approving any costs.
To select and proceed with a received quote:
From the unit view, click Get quotes.
Select the quote you want to review.
On the right-hand side, click the received quote to view the full details, including costs and the description of works.
If you are happy with the information provided, click Select in the bottom-left corner to approve the quote.
Click Yes to release the order.
Select the account for Capital or Repair Check.
Select the budget and click Confirm.
Select the Start date from the dropdown.
Enter any additional details.
Select who the message should be sent to:
All contractors from the quote
Only the winning contractor
Click Place Order.
Once the quote is approved, the system automatically converts it into a purchase order with the status PPO due. This indicates the contractor is now authorised to attend the site and complete the approved works.
