Place or cancel orders

You can request a contractor to complete repairs or other tasks by placing a callout to a specific location.

A callout is an order raised to address a specific issue or maintenance task at a unit. You can quickly place a callout by specifying the location, type of work, and contractor, ensuring the right resources are assigned to resolve the problem.

Place a callout

  1. From the unit view, click Place callout.

  2. Select the required room where the work is needed.

  3. Choose the appropriate work type and equipment type.

  4. If applicable, select the problem type or specific asset related to the issue.

  5. Select the contractor responsible for the work.

  6. Enter the order details describing the issue or task.

  7. Click Place order.

Once submitted, the callout order will appear in the current orders area within the unit view for tracking and management.


Request a quote

If you need a quote from a contractor before proceeding with a job, you can raise a quote request directly from the Unit View. This allows the contractor to review the job details and submit their pricing.

To request a quote, please follow the steps below:

  1. From the unit view, click Get Quotes.

  2. Click Get new quotes, then complete the following fields:

    • Required area

    • Work type

    • Problem type

    • Contractor

  3. Add a description of the work to be quoted.

  4. Click Next, then select the Quote type:

    • Max value – allows flexibility to reduce labour costs

    • Fixed price – a set cost for the job

  5. Choose a return date for the quote, then click Raise quote.

Once submitted, the order becomes outstanding with the contractor. They will need to review and submit the quote.


Tracking a quote request

To view submitted or pending quotes:

  • Go to Unit View, then click Get Quotes.

The order will appear under the Quotes Due for Submission section until the contractor responds.

πŸ“Œ Note: Once the contractor submits a quote, the request status updates to Received, and a notification will appear in the Unit View.


Cancel an order

If an order has been placed by mistake or the order is no longer required, you can cancel it.

To cancel an order, please follow the steps below:

  1. From the Unit View, select an order from the Current Orders section.

  2. Select the Cancel option.

  3. Select Cancellation Reason.

  4. Click Confirm.

πŸ“Œ Note: The order will be cancelled, and it will move into the Cancelled Order section.


Cancel a quote request

To cancel a quote request that was sent to the contractor, please follow the steps below:

  1. From the unit view, click Get Quotes.

  2. Select the order from the list.

  3. Select the Cancel option.

  4. Select Cancellation Reason.

  5. Click Confirm.
