A work type is used to group related equipment types. Equipment types can then be configured for Asset Management, callouts, quoted works, account codes, and contractor trade types.
Categories explained
Category | Details | Example |
Work type | A high-level category used to group equipment types under a specific area of the system. | Catering equipment under the Kitchen area. |
Equipment type or asset category name | The item displayed on orders and assets. It identifies the type of equipment the job relates to. | Blenders, coffee machines, grills, and food mixers. |
Trade type | Links equipment types to contractors and determines which contractors can be selected for jobs. Trade types are configured in the Trades / Item Types section of each contractor. | Catering equipment engineer. |
Add a new work type
From the Admin area, click Add / Edit Work & Equipment Types.
Click Add New Work Type.
Enter the name of the new work type.
Select the areas where the work type should be available.
Click Save.
📌 Note: The new work type will not be visible to users until an equipment type has been added to it.
Add a new equipment type
From the Admin area, click Add / Edit Work & Equipment Types.
Select the required work type from the list.
At the top of the page, click Add New Equipment Type.
Enter the equipment name.
Complete the following settings:
Required to appear in Asset Management: Select Yes if the equipment should be tracked as an asset.
Send Asbestos Warning: Select Yes to send a notification containing the asbestos report for the equipment.
Enable for Callouts: Select Yes to allow unit users to raise callouts for the equipment.
Enable for Quoted Works: Select Yes to allow unit users to raise quoted works for the equipment.
Under Area Selection, select the areas where the equipment type should be available.
Click Next.
📌 Note: If the selected work type is available in only one area, the equipment type will automatically use that area.
Select the account codes
From the Repair account code dropdown list, select the required account code.
From the Capital account code dropdown list, select the required account code.
Click Next.
Select the trade types
Trade types determine which contractors can be selected for the equipment type.
A different trade type can be selected for callouts and quoted works.
Open the Callouts tab.
Search for the required trade type and select it.
Open the Quoted Works tab.
Search for the required trade type and select it.
Click Next.
Review the problem types
Review the callout problem type and account code.
If the details are correct, click Next.
Review the quoted works problem type.
If the details are correct, click Finish.
The new equipment type will now be available in the selected areas and for the enabled processes.
LOLER restrictions on equipment and asset types
The Lifts and Escalators category uses predefined asset types based on the building type of the unit.
For example, an office may include Passenger Lifts and Disabled Lifts, while a warehouse may include Fork Lift Trucks, Pallet Lifts, and Scissor Lifts.
Asset types cannot be added to the Lifts and Escalators category outside the predefined list for the building type. This restriction helps maintain LOLER compliance.
What to do if you are blocked by a LOLER restriction
Contact the Access Maintain Support team through the Digital Assistant and include:
The name of the asset type you are trying to add.
The asset category it should sit under.
The related work type.
Confirmation of whether LOLER compliance applies to the equipment at your site.
