Unsatisfactory PMV feature

Enable and use the Unsatisfactory PMV feature to manage PMV orders with Partial or Failed inspections, submit certificates correctly, and understand the system changes for contractors and admins.

When enabled, this feature allows PMV orders to be paid even if they are partially compliant or have failed the inspection carried out by contractors.

Certificate types are clearly categorised with visual indicators Failed, Partial, and Passed, making results easier to interpret.

The feature increases flexibility, allows multiple certificates to be displayed, and places greater responsibility on contractors, who must log remedials in their portal.

At the same time, certificates can no longer be uploaded by internal users and must always come from contractors. Admin users now need to manually review each certificate before approving it.

📌Note: This feature does not apply to LOLER, Asbestos inspections, or PMVs with categorised remedials, as these are exempt.

Enable the feature

The feature must first be enabled by the support team. To request this, reach out to us and specify that you would like the unsatisfactory PMV feature activated.

After support has enabled the feature, configure the settings for each PMV contract:

  1. In Admin, select PMV Contracts.

  2. Choose the relevant PMV contract.

  3. Unlock the green padlock.

  4. Enable the following two settings:

    • Require certificate type.

    • Allow PMV orders to be paid for partial/failed type.

If Allow PMV orders to be paid for partial/failed type is not enabled, any certificate that is not marked as Passed will be automatically rejected and sent back to the contractor for re-upload.


Feature behaviour across the system

The introduction of this feature changes several areas of the system. Certificates are now uploaded, reviewed, and displayed differently depending on the view.


Unit and Group view

Show all remedials, including those completed by other contractors.

Units now support multiple certificates per order, and Groups also display remedial certificates for PMVs awaiting approval.


Admin view

In the Admin view, certificates now include a type and a visual status indicator:

  • A red X for Failed.

  • An amber Partial.

  • A green tick for Passed.

📌Note: Auto-approval is no longer available, so each certificate must be opened and reviewed individually.

When a certificate requires remedials, the Review button is replaced with Approve.

If the user does not have the necessary permissions, the certificate moves to the next person in the approval hierarchy.

⚠️Important: When confirming a certificate with remedials, the user must ensure that it matches the recorded remedials.

Admins also have the option to add more contractors to a remedial quote request, and quote requests are only sent once an order is authorised, depending on the user’s role and permissions.


Settings and behaviour

See below the following settings and behaviours:

  • Contractor remedial certificates appear in the PMV certificates to be approved section.

  • When viewing a PMV contract, two new settings are visible:

    • Require certificate type, for uploading certificates.

    • Allow PMV orders to be paid for partial/failed type.

  • If the Allow PMV orders to be paid setting is not enabled, any certificate other than Passed is automatically rejected and returned to the contractor for re-upload.


Contractor portal behaviour

In the contractor portal, the original certificate upload path remains in place, but the process adapts based on contract settings.

⚠️Warning: Certificates must always be uploaded through the portal. When both settings are enabled and a Partial or Failed certificate is uploaded, a remedial box appears, requiring the contractor’s head office to record items that need further work. If the order does not require remedials, only a Passed certificate is necessary.

If payment for Partial or Failed certificates is not permitted, the order stays visible in the contractor’s list until a Passed certificate is uploaded.

Remedial orders linked to a PMV marked as needing remedials will also appear in the portal and continue to follow the original upload process.

📌Note: PMV contract dates are not extended when remedials are completed. For example, if an order is scheduled on 1st January 2025 with a six-monthly frequency, and remedials are raised and completed on 3rd March 2025, the next visit remains on 1st June 2025.
