Cancel PMV contracts or orders

You can cancel an entire contract or individual orders if they are no longer required.

When managing planned maintenance visits, you may need to cancel older PMV orders or remove a contractor’s PMV contract entirely. Keeping these records up to date helps prevent unnecessary payments and ensures that future visits and responsibilities are assigned correctly.


Cancel an old PMV order

  1. From the Admin area, use the Edit Order search field to find the PMV order you want to cancel.

  2. Click Edit on the selected order.

  3. Click on the Visits tab.

  4. Click Edit Cost and update all cost fields to zero if no payment is due to the contractor.

  5. Change the order status to Approved to finalise the cancellation.

  6. Click Confirm to save.

📌 Note: Setting the cost to zero ensures the contractor is not paid for the cancelled order. Approving the order formally closes it in the system. If the status shows Certificate Due, update the status first to remove the certificate requirement before cancelling.


Cancel a contractor’s PMV contract

If a contractor is no longer responsible for carrying out planned maintenance visits, you may need to cancel their PMV contract. This removes their scheduled visits and prepares the system for assigning a new contractor.

  1. From the Admin area, click PMV Contracts.

  2. Select the relevant contract.

  3. Open the PMV Contract tab.

  4. Select the contractor.

  5. Unlock the green padlock icon.

  6. Select all listed visits and click Save.

  7. Choose one of the following options:

    • The remaining orders should also be cancelled

    • Left open for visits to be logged

  8. Click Save.

📌 Note: If you receive an error, remove any associated assets before completing the cancellation. Set the cancellation reason to New contractor required.
