If you are experiencing issues when trying to upload a PMV template, the problem is usually related to missing cost information or formatting errors within the Excel file. The steps below will help you identify and resolve the most common causes.

Check contractor settings for cost per visit

If your PMV template does not include the Cost column, you need to confirm how the contractor’s PMV is set up:

  1. Go to the Admin area and click Add/Edit Contractor.

  2. Search for and select the contractor.

  3. Click Rates.

  4. Click Planned within Rates.

  5. Use the dropdown to view every PMV the contractor has.

  6. Check whether the PMV shows Priced individually by unit or a blank area where costs can be entered.

    • If it shows Priced individually by unit, the PMV requires a cost per visit column in your template.

    • If it allows you to enter a cost per visit directly, you must input that value for each unit, as the template will not include the column.

Check the Excel template for formatting issues

Unexpected errors during upload are often caused by minor mistakes within the Excel file. PMV templates are very sensitive to formatting, so we recommend double-checking the following:

  • Remove any unnecessary empty spaces (use Excel’s Find & Replace feature).

  • Ensure all cells use consistent formatting for letters and numbers.

  • Confirm that cell sizes and text formats are consistent.

  • Make sure names are entered exactly as displayed in the system.

  • Use drop-down lists (if available) rather than typing values manually.

  • Check that all dates are entered correctly.

By reviewing both the contractor settings and the Excel formatting, most PMV template upload errors can be resolved without needing further support.
