Change financial period dates

This guide outlines what changes you can make yourself, what changes we need to make for you, and important new steps regarding the confirmation of your next financial year.

You can now confirm the next financial year directly in the system. Once confirmed, the system shows the approver’s name and the confirmation date. This removes the need for manual confirmation and allows internal teams to focus on more complex requests.

Support is available if you need help with setup or changes.


How to confirm the next financial year

You can confirm the next financial year at any time during the confirmation window.

  1. Go to the Finance area, then click Payment processing settings.

  2. In the modal, select Financial year from the left menu.

  3. Click Approve.

  4. The red X icon changes to a white checkmark on a green background.

  5. The system displays the approver's name and confirmation date.


What happens if the financial year is not confirmed

If the next financial year is not confirmed, the following functions will be restricted:

  • Creating a refurbishment project or placing orders on existing ones

  • Performing batch ordering in the Admin area

  • Accessing financial year reports and graphs


Reminders and notifications

Starting around seven weeks before the confirmation deadline, the system sends weekly reminder notifications.

Additional warnings appear when:

  • Purchasing a quote request or order

  • Releasing a callout or quote request

  • Navigating the Admin or Finance area

  • Authorising orders when the current financial year is not confirmed

A confirmation prompt will also appear when needed.


When to contact support

If your changes cannot be made directly through the system:

  • Raise a support case with full details.

  • Include a template or spreadsheet if changes to financial period dates are required.

The Support team can assist with:

  • Changing future period end dates, without changing the day of the week

  • Making changes up to one week in advance


Changes that require the development team

Some updates are more complex and will need development involvement. These take longer to complete, so please raise them early.

Examples include:

  • Changing when the current financial year starts

  • Switching between periodic and monthly periods

  • Changing the start day of the financial year

  • Adjusting future period dates to a different day of the week
