In Access Maintain, you can produce a report that shows the costs per contractor broken down by month across the financial year. This can help you analyse contractor spend, compare monthly trends, and monitor costs at both unit and contractor levels.
To export the report please follow the steps below:
Go to the Finance area.
Under Outputted files, export the file Paid Orders FY.
After the file has been exported please folow this steps to create a pivot table in excel:
Open the exported file in Excel.
Press CTRL + A to select all the fields on the spreadsheet.
In Excel, click the Insert tab and choose Pivot Table from the menu.
When the pop-up menu appears, click OK to create a new worksheet with the Pivot Table.
In the new worksheet, select the following Pivot Table Fields:
Unit Name, Town
Total Amount
Paid Date
Contractors
Use the + sign to expand the Paid Date field into months, and also expand the Contractor field to see individual contractor names.
Click on the Row Labels filter and filter by contractor as required.
The Pivot Table will now display the costs per contractor, grouped by month, giving you a clear breakdown of contractor spending throughout the year.
